What Does a Spare Parts Expert in KNAPP Customer Service Do?

Our colleague Sarah gives us the inside scoop on her job as a spare parts expert. She shows us what challenges and motivates her every day at work.

What are your main responsibilities?

Sarah: As a spare parts expert, I am the first point of contact for our customers for all concerns relating to spare parts and I’m responsible for giving them the best possible advice. My area of work strongly depends on the customer and can be divided into two areas:

New customers

I create custom spare parts packages that are specifically tailored to new customers. Such a package always depends on the system installed in the warehouse, i.e. the products installed, the operating times and system availability. The main goal is that these packages are delivered to the warehouse before the system goes live so that the customer is perfectly equipped and everything runs smoothly.

Existing customers

I also take care of our existing customers. In this case, I consult our customers to ensure that they always have the right mix of spare parts in the warehouse to keep their system running. Whenever they have questions about spare parts, guarantees or how to conduct repair work, I offer them solutions as well.

In short, my job involves preparing offers, which includes researching data, creating offers and monitoring order processing as well as shipping. Furthermore, I manage requests for repairs, which puts me in contact with many stakeholders.

What are the requirements for this job?

Sarah: A technical or commercial education is required for the job of a spare parts specialist. I started my career at KNAPP in 2015 as a mechanical engineering apprentice. That’s how I gained a solid understanding of our systems and products, which allows me to optimally advise our customers. Language skills also play an important role in my job. You should be proficient at least in English and German. Any additional language skills are a plus and can be really useful in some situations.

However, what I think is even more important is to have a passion for all things technical and a genuine interest in getting to know our products in detail. The outstanding quality of our products is what makes a difference to me. Displaying a common-sense approach, reliability and dedication are other factors that are definitely advantageous for this job.

What does an average day at work look like?

Sarah: I actually do not have a strict routine because I do a lot of different tasks. My tasks are as diverse as the people I work with every day. I work with people from many different backgrounds, both within my team and with customers and stakeholders outside the company. This teaches me new perspectives every day, which keeps me on my toes.

I like to compare my job as a spare parts expert with being an octopus. It has eight arms which allows it to do various tasks simultaneously. I deal with diverse issues in various areas, all the while being in contact with different people.

In your opinion, why does this job have good prospects for the future?

Sarah: Spare parts management is an innovative area, which is undergoing continual development, especially due to digitalization. Our processes are becoming more efficient and our customers’ processes are being continually optimized as well. So, there is a lot of potential for advancement here.

In addition, it is crucial for our customers to always have spare parts for their systems available at the right time and in the right place. No customer wants to be faced with an unplanned system failure. This is the moment when my job becomes of utmost importance – because as spare parts experts we ensure that our customers are equipped with the right spare parts package so that downtimes can be reduced to a minimum. Therefore, being part of our team means you play a significant role in a future-oriented profession that has a lot of potential for growth.

What do you like most about your job? And what challenges you?

Well-connected in the company

Over the years, you develop strong relationships with colleagues in the company. I know a lot of them really well; we’re quite close. Sometimes you even end up becoming friends outside of work, too. This job also gives you the opportunity to always meet new people and share valuable experiences. This unique blend of close working relationships and being part of a large networkis not common, and this is what makes my job special to me.

Customer orientation

I really enjoy interacting with different people every day. Along with that, I’m also excited by our innovative products, and I enjoy our multicultural work environment. It’s a challenge to find out what each system requires, what motivates our customers and to prepare a tailored offer, but that’s what I find exciting. The icing on the cake for me, however, is when I receive positive feedback from our customers.
